Job Summary

The Administrative Assistant for the CAGS Social Sciences and Humanities Division (SSH) is a full-time (40 hours per week) position reporting to the Dean of Social Sciences and Humanities. The Administrative Assistant supports the Dean in assessment, CACREP accreditation, and program management. The Administrative Assistant also supports the Program Director of the Master of Arts in Counseling (MAC) in program management, coordination of tasks, activities and communication.

Duties and Responsibilities


    Provide support to the SSH Dean, the MAC Program Director, the MAC faculty and the MAC support staff membersKeep data-based information organized and updatedCoordinate information for various committees and communicate activities and decisions with staff and students based on need to knowPublish MAC newsletter and edit manuals, the MAC Portal, and other documents as neededCoordinate various tasks, activities, processes in coordination with SSH/MAC team membersServe as the primary person responsible for the MAC Portal and the Taleo hiring electronic systemsAssist the SSH Dean with the management of the budgetParticipate in team meetings and other team events

Other duties assigned by the CAGS Dean of Social Sciences and Humanities, the MAC Program Director, and other MAC faculty/staff.

Responsibilities (List in order of importance)

    Assist the CAGS Dean of Social Sciences and Humanities division and the MAC Program Director in fulfilling his/her responsibilities, including, but not limited to CACREP accreditation, program management, communication with other departments, and designated contact with students.Serve as the clerical support for the Social Sciences and Humanities division and the MAC Program to maintain and update numerous data bases and Excel spread sheets.Collaborate with various stakeholders, provide information when possible, and direct questions and concerns to appropriate members of the SSH and MAC teams and/or other departments within the university.Other duties as assigned by the CAGS Dean of Social Sciences and Humanities and MAC Program Director.

    M.A. in counseling or B.A. in related fieldAbility to provide attention to detail within a system that focuses on 'big picture” issuesAbility to work with diverse team members, persons from other departments representing different perspectives, and students who range from very mature to very immature in their requests/demandsProficient in computer skills, such as Word, Excel, Datatel, Web Advisor, Web Design, and Black Board (some of these are internal programs, so general ability to learn electronic systems would be the criteria)Commitment to work collaboratively from a team approach management style

Nature of Work Environment

While performing the duties of this job, you may be required to walk; stand; sit; reach with hands and arms; balance; stoop; speak with clarity, have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds.
